Add-on
Staff Time Tracker
Staff scan a badge. Payroll comes out the other end.
A PIN or a QR badge at the front desk, a live view of who is on the clock, and a payroll export ready to hand over — without anyone retyping a timesheet.
Cheaper as part of Staff Management, which bundles it with Conference Scheduling. You can still buy this one on its own.
Add as many staff members as you want. One price for the whole organization, never per person — hiring three tutors does not change your bill.
In this add-on
- Live "who is on the clock right now" view across your centers
- Create, edit and delete punches, with missed-checkout handling
- Automatic close-out of sessions left open overnight, flagged rather than silently fixed
- Automated check-out reminder emails
- Staff roster with archive instead of delete, so historical payroll stays intact
Three ways to clock in
Use whichever suits your front desk, and mix them if you like.
- PIN entry
- A shared kiosk screen at the desk. Each center sets its own PIN and the screen stays unlocked for the day.
- QR badge
- Issue a badge per staff member, revoke it in one click when someone leaves. A replacement invalidates the old one automatically.
- Hardware scanner
- Kiosk mode listens for a barcode or QR scanner acting as a keyboard — the cheap USB kind, not a phone camera.
The desktop app
A Windows tray application that captures badge scans in the background and shows a native notification when someone clocks in or out. Nobody has to remember to keep a browser tab open on the front-desk machine, and nobody can close it by accident.
- Runs in the tray
- Starts with the machine and stays out of the way.
- Native pop-up
- A confirmation the person scanning can see from arm's length.
- No browser required
- Which matters on the shared desk computer that runs everything else too.
Payroll export
The part that saves the most time. Weeks start on Sunday, periods are biweekly, each employee gets their own block with a four-digit code, and the file ends with a grand total. Built to be handed to a payroll processor as-is.
- Per-employee blocks
- One section per person, with daily rows and a subtotal.
- Grand total
- So whoever approves payroll has one number to check.
- Automatic employee codes
- Four digits, assigned once and stable across periods.

We have not found another tutoring or learning-center platform that ships a native desktop time clock with hardware badge scanning. General-purpose time-clock tools do — this is a claim about our sector, not about software in general.

What it costs
Staff Time Tracker pricing
One price a month, on top of a $19/month platform fee that covers your account whichever add-ons you take. It does not change with how many staff you have or how many students you enroll.

Excludes the $19/month platform fee and any other add-on. Never priced per staff member or per student.
Mix and match

One shared week, and meetings parents book themselves
Customized Language Pack
Up to five languages of your choosing, on the forms themselves
Student Check-In
