Add-on
Parent Orientation & Conference Scheduling
A parent wants to talk. Send them a link, not three phone calls.
One week that everybody at your center can see, and a booking page where a parent picks a time you have offered. No phone tag, and nothing for the front desk to type up afterwards.
Cheaper as part of Staff Management, which bundles it with Staff Time Tracker. You can still buy this one on its own.
In this add-on
- One shared week showing staff shifts and parent meetings together
- Admin and staff see the same week — no private calendars
- Color-code shifts and meeting slots
- A public booking page on your own address, listing only the slots you offer
- Parents choose a time and give their name, email, child and a note
- Booking details encrypted at rest
Shared visibility, not another private calendar
A calendar only one person can see is a to-do list. What makes this worth having is that the front desk can see who is in and what is booked, and a tutor can see what the center has put in their week, without a group chat in the middle.
- One week, everybody on it
- Staff shifts and parent meetings side by side.
- No "my calendar" to hide in
- Read access shows the whole center, not a filtered slice.
- Color-coded
- Give a shift or a meeting slot a color, so the week reads at a glance.
Parents pick from times you decide
You put up the slots — Thursday from four, half an hour each — and send families one link. They choose a time and enter their details. Nothing is offered that you did not put there.
- Your own booking page
- One link, on your own address. Nothing to install.
- Only what you offered
- A parent cannot invent a time or reach a slot you have taken down.
- Confirmed on the spot
- The parent sees their booking straight away, and it appears in your week.
What a booking gives you
Who is coming, for which child, and anything they wanted you to know first — waiting in the same week you already had open.
- Encrypted at rest
- Parent and child names are encrypted in the database, like form answers.
- Their note, before the meeting
- So the conversation does not start from scratch.
- Cancel, not delete
- A cancelled slot leaves the record intact.
Everything included

- Color-code shifts and meeting slots
- A public booking page on your own address, listing only the slots you offer
- Parents choose a time and give their name, email, child and a note

- Cancel a slot without deleting the record
No reminders yet
Nothing here emails or texts anybody. When a parent books, the confirmation is the page they are looking at, and the booking appears in your week — but neither of you gets a message the day before. Reminders need mail set up for your center, and we would rather say that now than let you find out the morning somebody does not turn up.
What it costs
Conference Scheduling pricing
One price a month, on top of a $19/month platform fee that covers your account whichever add-ons you take. It does not change with how many staff you have or how many students you enroll.
Work out your own numberConference Scheduling, flat.
Excludes the $19/month platform fee and any other add-on. Never priced per staff member or per student.
Mix and match
The other add-ons
Add only what you need. The one dependency is Language Pack, which translates Document Organizer forms and so needs that add-on.
